Notes & Documents

Notes and documents are available on both Ticket and Job detail pages.

Notes

Notes are a running log of every customer interaction. Use them to record phone calls, emails, site visits, and any follow-up commitments.

Adding a Note

  1. Type your note text in the Add a note… field.
  2. Set the Note date — defaults to today, change it if logging a past conversation.
  3. Optionally set a Follow-up due date. This date appears on the Sales Calendar as a reminder.
  4. Click Add Note.

Editing or Deleting a Note

Each existing note has Edit and Delete buttons. Editing lets you correct the text or change the dates.

Follow-up Due Dates

When a note has a follow-up due date set, it appears on the Sales Calendar. The calendar event is color-coded by the parent record's status (red = Submit Bid, orange = Follow Up, yellow = Approved). Clicking the calendar event opens the ticket or job directly.

Best Practice

Add a note every time you contact a customer, and always set a follow-up due date. This keeps the Sales Calendar accurate and ensures no customer goes uncontacted for too long.


Documents

Documents are available on Job detail pages only.

Uploading a File

Click the upload area (or drag a file onto it) to upload. Supported file types include PDFs, images, Word documents, and spreadsheets. Maximum file size is 20 MB.

Downloading a File

Click a document's name or the download icon to download it.

Deleting a File

Click the trash/delete icon next to a document. You will be asked to confirm before the file is permanently removed.
